Purpose of the position: the purpose of the Quality Officer/Librarian is to ensure that all operational and maintenance activities strictly adhere to stringent regulatory standards and internal company policies. The Quality Officer/Librarian centers on turning information into a controlled, reliable and actionable asset. It centers on safeguarding integrity, accessibility and adherence to organizational standards, policies and regulatory requirements.
Key areas of responsibility:
- Quality Assurance & Compliance:
- Conduct internal/external audits and compliance checks
- Monitor adherence to document control protocols
- Maintain quality management systems
- Information & Records Management:
- Classify and catalogue documents and records
- Maintain physical and digital filing systems
- Implement retention and disposal schedules
- Ensure data security and confidentiality controls
- Manage document version control systems
- Knowledge Management:
- Develop and maintain knowledge repositories
- Curate learning and reference materials
- Maintain metadata standards
- Process Improvements & Quality Enhancements:
- Analyze workflows and identify inefficiencies
- Implement improvement initiatives (e.g. PDCA cycles)
- Track performance metrics and trends
- Collaborate with departments to optimize process
- Risk & Governance:
- Ensure adherence to legal and regulatory frameworks
- Maintain audit trails and documentation
- Monitor compliance risks and vulnerabilities
- Reporting & Stakeholder Engagement:
- Prepare regular quality and library performance reports
- Engage stakeholders for feedback and improvement
- Align quality and information strategies with organizational goals
Key Competencies:
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Understanding of ICAO and Aviation industry audit requirements
- Internal audit skills
- Proficiency in digital archiving systems and databases
- Strong understanding of document control principles and quality management systems
- Excellent organizational and cataloguing skills
- Ability to meet regulatory deadlines
- Document control and archival management
- Excellent communication (written and verbal)
- Strong integrity, confidentiality and ethical conduct
- Attention to detail and organisational discipline
- Ability to work under pressure and manage competing priorities
- Problem-solving and proactive decision-making capability
Minimum Qualifications:
- Degree in Aviation Management or Business Administration or Computer Science
- Certificate in Quality Management System
- Certificate in Document control or equivalent
Experience:
- Minimum of 3 years’ experience in document control principles, records management or library services
- Managing controlled documents (manuals, SOPs, policies, business processes etc.)
